Canvas Calendar: Scheduling Appointment Slots

Now that you are starting to get comfortable with Canvas, I thought it may be a good time to introduce you to the Canvas Calendar tool and the features within. The calendar in Cavnas does offer some robust opportunities that I think you will enjoy. One of those, is the ability to schedule office hour time slots and have students sign-up. This is a quick tutorial that will help you navigate how to get this created on your own calendars:

How Do I Create an Appointment Group?


  • To use the Scheduler, log in to Canvas and click on the Calendar link in the global navigation menu on the left-hand side.
  • Use the arrows to navigate to the desired month. Click on the appropriate date on the Calendar or click on the + icon in the top right-hand corner.  
  • Select the "Appointment Group" tab.
  • Fill in the name of the event and the location of the meeting if desired.
  • Click the Select Calendars button (1) and choose the course(s) you wish the Scheduler to be available to (2). Then click Done (3).
  • Add a date for the appointment (1) and time range (2). You do not have to type in every appointment slot. Instead, put in the overall time range (e.g. 1:30 - 3:30 p.m.) and then specify how you want to divide the time (3). For example, if you want to have 30 minute time slots between 1:30 and 3:30, type in 30. Then click Go (4).
  • The time slots are now adjusted accordingly. You can delete time slots by clicking the X next to the time.  
  • You can limit each time slot to only 1 or more users, allow students to see who has signed up for time slots, and limit participants to only signing up for a certain number of appointments by checking the appropriate boxes under Options.
  • When you are ready to publish the appointment group, select the Save and Publish (or Publish) button (1).
  • Your appointment slots will appear on your Calendar in grey, indicating that no one has signed up for an appointment yet.

How Will I Know If Students Signed Up for a Time Slot?

 

If a student signs up for a time slot, the appointment will appear on your Calendar in black. If you signed up to receive scheduler notifications, you will also receive an email.

How Do I Edit or Delete an Appointment?


If you need to edit or delete an appointment at any point, follow these instructions:

  • Click on the appointment on your Calendar.
  • Click on Delete or Edit.
  • To remove the student who signed up, click on the X button next to their name (the X will appear when you hover over the name).

How Do I Message Students about the Appointment?

You can message students who have signed up for a time slot by clicking on the appointment and choosing "Message Student".

You can message students who have NOT signed up for a time by clicking on the appointment, choosing "Group Details" and then choosing Message Students at the bottom.
